Receptionist/Administrative Assistant

Job Summary:

We are looking for a motivated Receptionist/Administrative Assistant to be the first point of contact for our patients. In this role, you'll handle front desk duties, administrative tasks, and assist with clinic operations to ensure a smooth experience for everyone. Key Responsibilities:

  • Greet patients warmly upon arrival, check them in, and manage appointment scheduling using our electronic health records (EHR) system.
  • Answer phone calls, respond to inquiries, and handle patient communications via Phone, email or text.
  • Verify insurance information, process payments, and manage billing inquiries.
  • Maintain patient records, ensuring accuracy and compliance with Privacy regulations.
  • Assist with inventory management for office supplies and optical products
  • Coordinate with optometrists and technicians to prepare exam rooms and manage patient flow.
  • Perform general administrative tasks such as filing, data entry, and preparing reports.
  • Support marketing efforts, like updating social media or sending appointment reminders.
  • cross train in other areas of the clinic including optical sales, measurements, contact lens trainings

Qualifications

  • High school diploma or equivalent; associate's degree in administration or related field preferred.
  • 1-2 years of experience in a receptionist or administrative role, ideally in a healthcare or medical office setting.
  • Excellent communication and customer service skills with a friendly, professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with EHR software (Visual Eyes).
  • Strong organizational skills with the ability to multitask and prioritize in a busy environment.
  • Knowledge of medical terminology, insurance processes, or optometry is a plus.
  • Ability to maintain confidentiality and handle sensitive information.
