Patient Care Coordinator

Compensation: $18 to $21 Hourly

About Us

Optometrists on Colborne is a progressive, well respected, established, patient-focused optometry practice providing routine and specialty eye care to a large patient base in the London community. With a team of 11 doctors and over 28 staff members, we are committed to providing exceptional eye care and an outstanding patient experience. We are currently seeking friendly, detail-oriented, and dependable Patient Care Coordinators to join our growing team.

This position is ideal for someone who enjoys working in a fast-paced healthcare environment, thrives on providing excellent customer service, and values being part of a collaborative team.

About the Role

This role supports both our front desk and patient pre-testing functions. You will be one of the first points of contact for our patients and play an important role in ensuring a positive and efficient patient experience from arrival through examination.

While the primary work location is our main clinic, occasional work may be required at our satellite office located nearby.

Key Responsibilities

  • Welcome patients and provide exceptional customer service throughout their visit.
  • Manage patient check-in and check-out processes.
  • Answer and direct phone calls, respond to emails, and handle incoming and outgoing faxes.
  • Schedule, confirm, and coordinate appointments using clinic software.
  • Collect patient information and update electronic patient records.
  • Obtain patient histories and prepare patients for examinations.
  • Perform pre-testing procedures, including: auto-refractor, lensometer, retinal imaging, visual field testing, OCT and other duties.
  • Assist optometrists with patient flow and clinic operations.
  • Process payments, insurance claims, and billing transactions.
  • Maintain accurate, confidential patient records.
  • Help ensure the clinic remains clean, organized, and welcoming.

Qualifications

  • Previous experience in an optometry clinic, healthcare setting, medical office, or professional office environment is considered an asset
  • Completion of a Medical Office Assistant program is considered an asset
  • Canadian Certified Optometric Assistant (CCOA) designation is considered a strong asset
  • Strong communication and interpersonal skills with the ability to interact effectively with patients of all ages
  • Excellent organizational skills and attention to detail
  • Ability to multitask and remain calm in a busy environment
  • Professional, compassionate, and patient-focused approach
  • Willingness to learn and develop new skills

Schedule

  • Monday to Friday with occasional Saturday shifts (9:00 a.m. – 2:00 p.m.)
  • Rotating 9-hour shifts, including:
    • 8:00 a.m. – 5:00 p.m.
    • 9:00 a.m. – 6:00 p.m.
    • 10:00 a.m. – 7:00 p.m.
  • Clinic closes at 4:00 p.m. on Fridays
